Sticker on the hood, next cleaning on the board: hood cleaning software for exhaust crews

HoodCert Log is hood cleaning software for kitchen exhaust cleaning companies that keeps a service report for every visit to every restaurant and dates the next cleaning for you. NFPA 96 frequency, before and after notes, areas not cleaned, the certificate sticker date and the next due date, all on one printable report.

One truck: $29 a month. A crew with an office: $69.

NFPA 96 hood cleaning frequency

Four cooking types, four clocks. You only enter the sticker date.

Accounts on different frequencies get missed when next-due is worked out by hand in a spreadsheet. Set each kitchen's cooking type once; the frequency fills in, and you can override it.

    Your company on top

Name, phone and license number from Settings, and your own footer text at the bottom.

  2. 2

    Condition before and after

Light, moderate, heavy or severe grease, with the tech's before and after notes in their own words.

  3. 3

    Areas not cleaned, called out

Inaccessible ducts and fans get their own highlighted box, so the restaurant can't say nobody told them.

  4. 4

    Deficiencies until resolved

Missing access panels, damaged fans, fire hazards. The office marks each one resolved when it's fixed.

  5. 5

    Photos from the roof

Up to 12 before and 12 after photos per visit, taken on the technician's phone.

Calls you stop taking

The record lives in carbon copies, a camera roll and a sheet that drifts

So when someone calls, the office digs through folders and texts. Here are the three calls every hood cleaning office knows, and where the answer is now.

“Can you resend the report from last quarter? The insurance auditor is here.”

Restaurant manager

Now: Send the share link. It opens the finished report, sticker date and photos without a login, and prints to PDF from any browser.

“When was this hood last cleaned, and when is it due again?”

Fire inspector

Now: The account page shows the last sticker date and the next due date, worked out from that kitchen's NFPA 96 frequency.

“Am I supposed to be at the taqueria this week or next?”

Your own technician

Now: The due board lists every account that's overdue or due in the next 30 days, and each tech sees their own week on their phone.

What it costs

Pay for the size of the operation, not per truck roll

Generic field service apps start around $49 to $79 a month for a single user and still need custom forms for frequency and sticker dates. Billed monthly or yearly through Stripe; cancel any time.

Straight answers

What owners check before switching from paper

Can HoodCert Log replace my hood cleaning report template?
Yes. Every visit produces the same hood cleaning service report: grease condition before cleaning, before and after notes, areas not cleaned, deficiencies, the sticker date, the next due date and the photos. Your company name, phone, license number and footer text print at the top and bottom.
How does it work out NFPA 96 hood cleaning frequency?
Each account has a cooking type, and the form suggests the usual frequency for it: monthly for solid fuel, quarterly for high volume, semi-annual for moderate volume and annual for low volume. You can override it for any kitchen. The next due date is the sticker date plus that many months, and you can still edit it on the visit.
Does it print hood cleaning stickers?
No. Keep using the certificate stickers you already buy. HoodCert Log records the sticker date you applied on every visit, so you can answer "when was the sticker put up" without climbing a ladder.
Is there a hood cleaning app my technicians install?
There's nothing to install. It runs in the phone's browser: a technician opens the account, starts the visit, takes before and after photos with the camera, adds deficiencies and marks it complete. Each visit holds up to 12 before and 12 after photos.
What happens when a visit gets logged late?
A completed visit only ever moves the account's next due date forward. Entering last month's paper report today won't pull a kitchen's schedule backwards.
Can I bring in my kitchen hood cleaning schedule from a spreadsheet?
Yes. Import accounts from a CSV with the business name, address, cooking type, hood count and next due date. Export accounts, visits and deficiencies to CSV whenever you want them back.

Roof, office, dining room

Each person sees the part of the record they need

Technicians

A hood cleaning app on the phone they already carry

Open the account, check hood count and roof access notes, log the visit, take photos, add deficiencies and mark it complete. Techs see only their own visits.

The office

A kitchen hood cleaning schedule that keeps itself

The due board lists overdue and upcoming accounts by frequency. The office edits accounts, reviews reports and sends share links, without touching billing.

Restaurant managers, on Pro

Their own reports, without calling you

A client login shows one restaurant: next due date, last sticker date, every completed report and the open deficiencies.

Next cleaning season

Your due dates, worked out before the phone rings

Bring your spreadsheet of restaurants in as a CSV, and the board fills with what's overdue and what's coming up. Log the next cleaning from the roof and the date after it is already set.
